Hallways, rooms and waiting areas: the Montreal Heart Institute (MHI) has many locations that film crews can use to produce movies, commercials or TV shows. This section contains information about our rates and terms and conditions for shooting.

Any individual or production company that wants to shoot footage (for a movie, show, TV series, documentary, advertisement or other work) must obtain prior from the Montreal Heart Institute. To obtain authorization, send a written request to communications@icm-mhi.org. To uphold patients' quality of life and to respect everyone's right to peace and quiet, film crews must adhere to the rules below.

Conditions for authorization

A request will be authorized if it meets the following requirements:

  • Deadline: The request must be sent at least 15 days before the start of shooting.
  • The request must comply with the terms set out in this document.
  • The person making the request must give the MHI a security deposit.
  • The person making the request must pay all permit costs and related costs, if applicable.
  • The person making the request must submit a description of any MHI equipment or materials that will be used.
  • The person making the request must respect the MHI's applicable infection prevention rules.

Information to include with the request

To be considered, the request must include the following information and documents:

  • Name of the production company
  • Name of the authorized representative
  • Details about the shoot:
  1. Production title
  2. Production type
  3. Shoot timetable and schedule
  4. Number of people involved (including actors, extras and film crew members)
  5. Detailed synopsis of the scenes involved
  6. Description of the equipment that will be installed (lighting, noisy equipment, set decorations, etc.)
  7. Proof of civil liability insurance (minimum $1,000,000). This policy must include a co-insurance clause for the Montreal Heart Institute that is valid for the duration of the shoot.

Parking for production vehicles

  • The use of public roads requires approval from the Service de police de la Ville de Montréal and the Service de sécurité incendie de Montréal.
  • On the MHI premises, production vehicles may only park in authorized areas subject to parking fees.
Using the institute as a shoot location
  • Film shoots must take place outside of regular hospital hours. No shooting will be permitted in offices, rooms or other functional spaces.
  • Any modifications to or relocation of medical equipment or furniture must be performed by MHI employees at the expense of the production company. A work order must be submitted two weeks before the shoot. 
  • The MHI Institute reserves the right to refuse any modification/relocation request if deemed necessary.
  • The MHI cannot guarantee the availability of rooms or the condition of the areas as visited on the day of the shoot.
  • All visible logos at the shooting site(s) must be covered.
Other conditions

Clean up

Anyone with permission to shoot at the MHI must clean the location and ensure that it is put back to its original state. If this clause is not respected, the person making the request must pay the MHI for any actual costs required to clean the area in addition to administration fees.

Generators

Any generators used for shooting purposes must be soundproofed.

Specific characteristics of the shoot location

Particular conditions may apply depending on the specific nature of the shoot location.

Credits

In its credits, the production company agrees not to thank the MHI for its support in the production.

Security deposit

A certified cheque of a minimum of $2,000 is required before the shoot. The cheque must be made out to the Montreal Heart Institute. The amount of the deposit is subject to change. The MHI reserves the right to set the amount based on the services required and the duration and complexity of the shoot.

Infection prevention

The MHI's prevailing infection prevention standards must be respected at all times to ensure that the shoot does not pose any danger or risk of infection or accidents to Institute patients or staff.

Refusal

The MHI reserves the right to refuse any shoot request.

Revocation

The MHI reserves the right to stop any film shoot without reimbursement upon the breach of any discussed conditions or of the terms set out in this document.

Responsible department

The Department of Communications and Partnerships is responsible for applying these rules. A public relations officer and a security guard will be present on site for the entire shoot (subject to additional fees).

Fee schedule

On-site presence

  • $100 for each location scout
  • $100 for each technical scout
  • $350 for each hour of shooting, including the set-up and take-down of set decorations. Security and cleaning fees are in addition.

Parking

The production company must pay parking fees, which will vary depending on the number of requested parking spaces and number of hours required.

Food service

Film crew members may eat at the MHI cafeteria. However, notice must be given at least 72 hours in advance. Regular fees will be applied.

Medical equipment rentals

Certain types of medical equipment may be rented from the MHI subject to fees. Medical equipment may only be used by qualified MHI staff.

Opinion from a health care professional

No doctors or nurses from the MHI may consult with the team during the shoot unless an arrangement has been made beforehand with the Department of Communications and Partnerships.

This list is subject to change at any time

  1. Photos and video may ONLY be taken in identified and authorized areas.
  2. As an exception, the use of cell phones and walkie-talkies are ONLY permitted in identified and authorized areas and ONLY for the duration of the shooting period.
  3. Food is prohibited everywhere in the MHI except in the cafeteria.
  4. Alcoholic beverages are prohibited at all times everywhere at the MHI.
  5. Coffee, tea, juice and bottled water are allowed ONLY at the shoot location identified for the filming of scenes.
  6. Loitering on the other floors of the hospital is prohibited.
  7. It is prohibited to sit on beds or place objects on bedside tables. If this rule is not respected, additional housekeeping and disinfection fees will be charged and the contract may be cancelled at any time without prior notice or reimbursement.
  8. Depending on the shoot location’s proximity to a space occupied by patients, it is prohibited to run, talk or perform any other act that may bother MHI patients.
  9. It is prohibited to unplug any device without prior authorization (phones, photocopiers, computers, medical devices, etc.). 
  10. To prevent the risk of falling and injury for our patients, the wheels of beds that are moved during the shoot must be locked when the beds are put back.
